At AgentTribe and our sister systems, customer satisfaction is our top priority. In the event that you are not fully satisfied with your purchase, we offer a transparent refund policy to ensure your peace of mind.

1. Product-Specific Money-Back Guarantees

We offer different money-back guarantees depending on the specific software product or service purchased:

1.1 AgentTribe SaaS (15-Day Guarantee & Fair Use Protection)

For the AgentTribe autonomous AI workspace and CRM platform, we offer a 15-Day Money-Back Guarantee on all subscription plans.

  • Eligibility: If you are not satisfied with the Platform, you may request a full refund within fifteen (15) days of your initial purchase of any monthly or annual subscription plan.
  • Post-15-Day Renewal Billing:
    • No Refunds on Renewals: Subscription fees are non-refundable after the initial 15-day period has passed. This applies to both monthly and annual renewals.
    • Cancellation: You can cancel your subscription at any time through your Billing Settings. Upon cancellation, your workspace will remain active and accessible until the end of your current paid billing cycle, and no further renewal charges will be made.
  • Fair Use and Usage Exclusions (Critical Protection): Because AgentTribe integrates live communication channels and Generative AI processing, which incur direct third-party API costs (including Meta WhatsApp Business conversation fees and Google Cloud compute costs), the 15-Day Money-Back Guarantee is subject to the following Fair Use Limits:
    • AI Credit Threshold: A full refund is available only if your workspace has consumed fewer than 1,000 AI credits (or equivalent tokens) during the 15-day testing window.
    • WhatsApp Messaging Limit: The refund is only applicable if your workspace has sent/received fewer than 100 total messages via the WhatsApp Business API.
    • Excessive Usage Deduction: If your workspace exceeds the AI or WhatsApp thresholds mentioned above but you still request a refund within 15 days, we reserve the right to process a partial/prorated refund—deducting the raw cost of the AI credits and WhatsApp API conversation fees consumed by your workspace.

1.2 Nigraan VMS & QMS (15-Day Guarantee)

For our Nigraan VMS (Visitor Management System) and QMS (Queue Management System) software, we offer a 15-Day Money-Back Guarantee. If you are dissatisfied with the software for any reason within the first 15 days of purchase, you are eligible to request a full refund.

2. General Refund Eligibility Criteria

In addition to our money-back guarantees, you may be eligible for a refund under the following conditions:

  • Software Defects: If you encounter a technical issue or a critical defect in any of our software systems that prevents you from using it as intended, please contact our support team. We will work diligently to resolve the issue. If a satisfactory technical resolution is not achieved within a reasonable timeframe, you may be eligible for a refund.
  • Non-Delivery of Software: If you do not receive the software license, workspace link, or activation instructions within a reasonable timeframe after your purchase, you are eligible for a refund.

3. Refund Procedure and Processing

To request a refund under any of the terms above, please follow these steps:

3.1 Initiate Request

Email our customer support team at ai@agenttribe.best from the email address associated with your workspace owner account. Please provide:

  • Your workspace name or software order number.
  • Your active invoice or order number.
  • A detailed description of the reason for the refund or technical issue encountered.

3.2 Resolution Assessment

We are committed to resolving any technical issues you may face. Our support team will work with you to understand and address the problem. If a resolution is not possible, your refund will be approved in accordance with this policy.

3.3 Refund Processing Times

Once approved:

  • For AgentTribe SaaS: We will process the refund to your original payment method (e.g., Stripe, Razorpay) within 5 to 7 business days. Upon processing, your workspace data, AI Agents, and WhatsApp integration configurations will be permanently disabled or deleted.
  • For Nigraan VMS, QMS, and General Software: Refunds will be processed and credited within 15 business days of approval. The actual time for the credit to reflect in your account may vary depending on your payment method and financial institution.
